If you've been hearing about AI agents and feeling like it's something only developers can use, take a breath. Setting up an AI agent for your business is genuinely straightforward. If you can copy and paste text and follow simple instructions, you can do this.

This roadmap walks you through the entire process, from choosing an AI agent to connecting your first business tool. No coding, no command lines, no engineering degree required.

The Four-Step Roadmap

Choose Your AI Agent

An AI agent is the assistant you'll be talking to. Think of it as the brain -- the part that understands your questions and figures out what to do. The most popular options right now are:

Claude (by Anthropic) -- Known for careful, thoughtful responses and strong reasoning. Available through Claude.ai or the Claude desktop app.

ChatGPT (by OpenAI) -- The most widely known AI assistant. Available through chat.openai.com or the ChatGPT desktop app.

Both work well with Pipeworks. If you're not sure which to pick, start with whichever one you've already tried or heard the most about. You can always switch later.

The key thing to know is that the AI agent by itself can answer questions and have conversations, but it can't connect to your business tools on its own. That's where Pipeworks comes in.

Sign Up for Pipeworks and Connect Your First Integration

Connecting an integration usually takes less than five minutes. Pipeworks will walk you through exactly what's needed -- typically just copying an API key from the service and pasting it in.

Connect Your Agent to Pipeworks

Once your integration is set up, you need to point your AI agent at Pipeworks so it can use the tools. Pipeworks provides a connection URL that you add to your agent's settings.

For Claude: Go to Claude.ai → Settings → Connectors, paste your Pipeworks URL, and sign in when prompted. Your integrations are automatically available in Claude Desktop too.

For ChatGPT: Create an app in ChatGPT settings with your Pipeworks URL as the server URL and OAuth as the authentication method. Sign in through Pipeworks when you start a new chat.

For other agents: The process varies slightly, but it always comes down to giving your agent the Pipeworks URL. Most agents support OAuth sign-in. For agents that need manual auth, you can use a personal access key instead.

Once connected, your agent automatically gains access to all the tools provided by your integrations. You don't need to configure individual tools -- they're all available immediately.

Most setups use OAuth -- just sign in through Pipeworks when prompted. If your agent needs a key instead, you can generate a personal access key from your Pipeworks dashboard. Keep it safe and never share it publicly.

Start With Simple Questions

Now comes the fun part. Open your AI agent and start asking questions about your business.

If you connected Stripe, try:

  • "How many payments did we receive this week?"
  • "Who are our top customers by revenue?"
  • "Are there any failed payments I should know about?"

If you connected Calendly, try:

  • "What meetings do I have scheduled for tomorrow?"
  • "How many appointments were booked last week?"
  • "What types of appointments are most popular?"

Start with questions that just look up information (read-only). This lets you see how tool use works without any risk of changing your data.

Tip

Don't worry about phrasing your questions perfectly. AI agents are good at understanding what you mean, even if you ask in an informal way. "Show me last week's sales" works just as well as "List all successful Stripe charges from the past seven days."

What Happens Next

Once you're comfortable with your first integration, you'll naturally want to do more. Here's a typical progression:

Week 1-2: Explore

Ask your agent lots of questions. Get a feel for what information it can pull up. Browse the list of available tools. You're building familiarity and trust.

Week 3-4: Expand

Enable write tools for your first integration so the agent can take actions, not just report on data. Consider adding a second integration -- maybe email or analytics.

Month 2+: Optimize

You've found your rhythm. You know which tasks to hand to the agent and which to handle yourself. You're saving real time every day. Start exploring more advanced use cases like combining data from multiple integrations.

Common Concerns (and Why They're Fine)

"What if I break something?" Start with read-only access. Your agent can look up information but can't change anything. When you're ready, you enable write access yourself.

"What if the AI gives wrong information?" The agent pulls real data from your real systems. It doesn't make things up when using tools. If a number seems off, you can always verify it by checking the source directly.

"What if I get stuck?" Every integration has a setup guide. If something isn't working, disconnecting and reconnecting usually solves the issue. You can also reach out to the Pipeworks team for help.

Tips for Getting the Most Out of Your Agent

  1. Be specific when you can -- "What was our revenue last Tuesday?" gets a more precise answer than "How's business going?"
  2. Ask follow-up questions -- The agent remembers context within a conversation, so you can drill deeper: "Show me last week's revenue" followed by "Break that down by day."
  3. Don't be afraid to experiment -- Try different types of questions. You might discover capabilities you didn't know existed.
  4. Review the tool list -- Check which tools are available for your integration. It'll give you ideas for questions to ask.
